F1-innovate implements EASY project at Stadt-Parfümerie Pieper
In 1931, Gerhard Pieper and his mother Anna established a soap business in Bochum, Germany. A privately owned business, Stadt-Parfümerie Pieper today is Germany’s largest perfume maker. Over time more than 100 branches opened in the German state of North-Rhine Westphalia. When the mandatory period for retaining business documents was extended by a full decade, Pieper decided to procure an electronic archive system. It selected the products and solutions from EASY SOFTWARE AG which were then installed by F1-innovate GmbH of Osnabrück, Germany. This was the first DvEasy installation for Tobit David.
The decision was quick. “Through our finance accounting system that had already been implemented, interfaces to EASY were already present,” explained Heiko Rütjeroth, IT manager at Pieper. He added: “Today all journals, FI/CO and plant ledgers as well as payroll records are transferred electronically directly to the EASY system. Incoming invoices are captured via a scanner, and the files to be retained in compliance with GDPdU are stored in the EASY archive.”Â
Overcoming initial difficulties together
Copying the data from the legacy archive was a fairly complex, and challenging, task. During the initial phase some hurdles had to be overcome, but Pieper and EASY managed by a joint effort. However, employees of Stadt-Parfümerie Pieper never had any reservations, “since the system saves a significant amount of time for filing and search,” commented Heiko Rütjeroth. He added: “We’ve been successfully using EASY software for seven years now.”
The expert comes to a positive conclusion
Electronic archiving and search are the performance features that were most convincing. Heiko Rütjeroth summed up: “EASY provides an archiving tool that gives us significant gains in time as opposed to manual filing of business documents.”Â This is necessary because Mr. Rütjeroth estimates the volume for 2007 to be about half a million documents.
