“Meeting future-oriented requirements”
When more than 40 renowned mid-size waste management companies cooperate and centralize various business activities, document volumes can soon take on proportions that make the use of a specific and individually tailored software solution inevitable.Â For this reason, LOGEX SYSTEM GmbH & Co. KG of Ingolstadt, Germany, now archives its data using products and solutions from EASY SOFTWARE.Â The decision to select EASY resulted from a selection procedure that was also based on preliminary work for a dissertation. This project was implemented by tegos gmbh of Rosenheim, Germany.
“LOGEX is expanding externally with regard to increasing sales and market growth, but it is also growing internally in terms of increased efficiency,” says Peter Meissner, CEO at LOGEX, justifying the decision. “Due to the character of our operative business, the variety of documents and, above all, the document volume, are very marked in comparison to our business size,” explains David Imad, head of Controlling, Finance and Business Management at LOGEX. That’s why simplifying and accelerating the handling of documents became a special requirement for process optimization. Project initiator David Imad goes on to explain: “In combination with Navision/enwis, the EASY DMS solution is an overall solution from five modules synchronized with each other which together enable a dynamic increase in efficiency.”
Selection procedure as part of a dissertation
Since implementing such an IT system of the above order usually involves an extensive project both in terms of timing and costs, an intensive selection procedure, created as part of a diploma thesis, was performed.Â On the one hand, the reasons for selecting the EASY ENTERPRISE.i solution from EASY SOFTWARE were the specific LOGEX processes, which could only be replicated when specifically customizing the software.Â On the other hand, cooperation between EASY SOFTWARE and tegos gmbh (provider of ERP and processing software for LOGEX, and also a Microsoft Gold partner) enabled accomplishing more synergy effects to allow the implementation of a tailored solution for LOGEX.
The goal: a paperless office
In the project planning stage particular emphasis was placed on customer orientation. Moreover, the solution’s innovative ability and flexibility were underlined. This was based on hopes for a Unique Selling Proposition (USP) in the market, particularly in midsize businesses. “The basic idea was to implement an enterprise-wide DMS solution and to accomplish the overall goal of ‘Paperless LOGEX’ through synchronized project coordination,” explains David Imad.
Largely trouble-free and quick implementation
The project was implemented by competent employees of tegos gmbh of Rosenheim in close cooperation with LOGEX directed by the project leader Michael Böhm. “Technical standard setup of the EASY ENTERPRISE.i solution was complete within a few days. A special interface to the in-house ERP system Microsoft Dynamics NAV 4.0 with the industry-specific solution enwis for waste management ensures a connection between the performance data and the incoming third-party performance documents, including assignment to the respective invoice, and transmission of the performance data to the document.Â This provides maximum flexibility for search/retrieval (using more than 20 search and classification criteria), and quick response times for the customer,” comments Michael Böhm.Â “There were, of course, reservations regarding the ideal goal of “paperless LOGEX”, combined with a certain skepticism,” says Steffi Nüssel, faculty manager of IT organization.Â Yet these prejudices were removed through open communication and early integration of all employees, as well as system implementation in phases for customer projects. “The advantages of the electronic archive solution soon became clear.”
Daily use ensures the results are convincing
From a technical point of view, the EASY solution is a balanced archive solution that meets all presumed basic requirements. What was important to us was deep, vertical integration into our Navision/sector solution. Above all, due to the special features of LOGEX business, LOGEX as a system center is very satisfied with the EASY/NAVISION/enwis combination.” David Imad even speaks of “meeting future-oriented requirements”; after all, the LOGEX solution included innovative power and approaches for USP. In his capacity as project leader, Michael Böhm is aware of further, tremendous innovative potential inherent in the deployed solution combination which can be implemented and used in close cooperation between EASY and tegos, and practical tests with LOGEX.Â He adds: “The EASY solution was particularly convincing through its flexibility, the settings and administration options that can be made manually, and its widespread availability in the market.” EASY and Microsoft Gold partner tegos gmbh provide support services.
Business analysis confirms the benefit of the new software
A business analysis including detailed analysis of processes at LOGEX conducted by the company itself finally made the positive changes visible, e.g. reducing search/retrieval time by 90%. This not only produced increased efficiency, it also produced non-monetary effects such as a significant increase in selective readiness to provide information adjusted to the needs of customers, associates and business partners.Â In figures, the efficiency rate could so far be improved by 3.9 points when measured against the total time. This corresponds to about 2,000 process-related working hours per year. To sum up, this means for LOGEX: “Our strategy was merged with an innovative project, planned and implemented at the right time, using the right product and the right partner combination,” says David Imad in conclusion.
LOGEX is a cooperation of over 40 midsize waste management companies in southern Germany. It was established in 1993 as a midsize response to concentration within the waste industry, and to changed customer requirements.Â The task of the headquarters in Ingolstadt (Germany) is to control sales, service, customer consulting, and complaints management of national projects.Â Through this LOGEX combines the flexibility of on-site midsize businesses with the great demands from customers with nationwide operations. The system center also concentrates functions such as marketing waste, purchase and marketing for its associate members. With more than 5,000 employees, the associate members of LOGEX achieved sales in excess of €600 million at about 100 corporate sites.
