Definition: What is employee self-service?

Employee self-services – ESS for short – allow employees to view and manage their working hours, vacation days and absences. They can also access their digital personnel file and make changes to personal data, such as address or account changes, etc. So employee self-service means self-management. Such HR self-services are usually provided by special HR software.

employee self-services – ready to go without data migration

The portal is simply placed over the existing systems, such as the HR software, archives or other systems, and accesses the defined documents that are stored there. Therefore, no data migration is required. The documents are made available in the portal without the user having direct access to the original archive system. This eliminates the need for additional accounts and avoids unnecessary IT costs and administrative overheads. Moreover, the relevant documents do not have to be uploaded to another system, i.e. the portal, and therefore maintained in several systems; instead, a “single source of truth” is available, i.e. just one database with which everyone works.

Portals offer precise authorization concepts to ensure that employees are only able to access the data and documents that are intended for them and that the data protection regulations are complied with. While sensitive documents such as salary slips can only be accessed by the employee they concern, employment certificates and references, for example, can also be made available to superiors.
