There’s more to a successful soccer club than its first eleven. To make accounting even more efficient, the accounting department of Hertha BSC, a first division club in the German Bundesliga, now counts on a digital document management system.

The administration of Hertha BSC comprises comparatively few employees; nevertheless, the organization is spread over a wide range. Many different cost centers are distributed throughout the building. With so many directions in which a process can move, it became difficult to keep track of the current progress of individual processes. Meanwhile, business partners were waiting for their invoices to be paid.

Hertha BSC was looking for a solution to this problem, but without a tender. At that time, the club was already an existing EASY SOFTWARE customer, and was using another document management solution from EASY in the background for support. The advantage of obtaining several similar solutions from the same source quickly became clear: The tools work together as if they were one large, versatile solution. Apart from that, the flexible offering with many customization options best suited Hertha BSC’s needs.

With EASY, Hertha BSC reduced the time required per process by 40 percent. Senior Controller Sven Gebhardt, who is responsible for the project, explains the reason: “Previously, we always made exceptions to the question ‘Who will take care of this invoice?’ In the short term, such detours seemed to lead more quickly to the goal, but in the long term they made coordinated work impossible. Clear, digital paths automatically provide more discipline.” He also praised the tool’s ease of use, which enabled Hertha BSC to continue configuring their workflows even after the initial installation of the solution.

After the solution was introduced in fall 2020, more than 1,300 invoices already went through the digital workflow in the first year. Hertha’s administrative staff were also happy with the ability to work from home more easily thanks to the new tool.
